Built an AI-powered voice agent for automated appointment booking and management, integrated with a workflow backend via n8n. The system handled end-to-end appointment operations including new bookings, rescheduling, cancellations, and frequently asked questions, while maintaining a natural conversational flow over voice.
The agent differentiated between new and returning users by checking historical records and applied customized booking logic, such as tagging repeat appointments with a separate visual identifier and prioritizing context-aware responses. For new users, the agent dynamically suggested available time slots based on real-time availability and predefined scheduling rules.
The backend was connected through webhooks to capture and sync conversation data, booking details, and user information directly into the client’s CRM, ensuring accurate record keeping and seamless coordination across systems. Multiple customizations were implemented at the workflow level to adapt booking behavior, validation logic, and data handling to operational requirements, resulting in a scalable and reliable voice-based appointment automation system.
